Your New Role

On behalf of our client, we are seeking a polished and proactive Office Administrator to join the team in their Sydney office. Reporting directly to the HR Coordinator and Executive Assistant, you will serve as the face of the company, ensuring the office runs at full functionality while supporting various divisional heads. This is a multifaceted role perfect for a career administrator who enjoys variety, from event coordination to fleet management.

Your Responsibilities

  • Greet all visitors professionally and manage incoming calls and the company phone system.
  • Maintain a high standard of presentation for the office and meeting rooms, including the procurement of office supplies and equipment.
  • Produce an annual events calendar, manage internal company events within budget, and arrange staff travel requirements.
  • Assist the HR Coordinator with on boarding new employees, managing employee inventory, and maintaining administrative "How-To" guides.
  • Act as the Sydney office First Aider and Fire Warden, and complete scheduled workplace inspections in accordance with QMS requirements.
  • Manage the company vehicle fleet (repairs, services, and tracking) and liaise with building management regarding infrastructure issues.
  • Maintain company registers, including ASIC registrations, ISO certificates, and the asset register.

About You

  • 2 + years of experience in a similar Office Administration or Coordination role.
  • Excellent interpersonal, written, and verbal communication skills with a professional telephone manner.
  • Exceptional time management skills and the ability to prioritise a heavy workload under pressure.
  • Proficient in office technology, including SharePoint management and digital record-keeping.
  • A proactive, mature approach with the ability to work autonomously and handle sensitive information with discretion.
